JOB DESCRIPTION
Job title: Administrator
Reports to: Office Manager
Department: Regions, NFU Cymru
Main purpose and scope of job:
To provide secretarial and clerical support services to regional executive staff, including:
to sort and prioritise daily incoming mail.
to provide support to Regional Executive staff in the production and circulation of documents, including, when required, desk top publishing.
to keep accurate record of diary appointments using Microsoft Outlook.
to promptly distribute incoming faxes.
to arrange for the bulk printing and distribution of documents generated by regional staff.
Functional responsibilities:
To assist with the operation of a comprehensive filing system for the region, comprising general correspondence, policy files and reference library.
To update manuals used by the region as and when amendments and additions are received.
To assist with the monitoring of stocks of stationery.
To compile and publish a weekly 'movements sheet' for staff in the region.
To assist with the creation and maintenance of committee and working group lists on Postal System.
To be responsible for the regular updating of NFU information.
Answer telephone(s) and deal with queries where possible in the absence of regional executive staff.
Check incoming goods and distribute as appropriate, checking where possible against orders and reporting missing or damaged goods.
Maintain room hire diary and administer bookings for rooms, catering and equipment.
To act as a recognised First Aider within the Regional Office, as required.
This job description will develop to meet the needs of the NFU and any additional duties will be commensurate with the post holder's grade.
